The meeting on Sunday 18 October at Sunderland Lounge did not meet the required Quorum, so it was adjourned. It will reconvene ONLINE only, by Google Meet, following the same agenda. It will begin at 6:00pm, but please note, the meeting proper will start at 6:30pm sharp.

The link to join is in the email sent to members by Barfoot & Thompson, and it is not published on this website. If you cannot find it, email hprs@barfoot.co.nz.

Why your vote matters

This meeting decides your levy for the coming year ($165 per property), elects the Committee that looks after Hobsonville Point’s shared spaces, and votes on ten changes to the Constitution. If the quorum is not reached by 6:30pm, the meeting goes ahead anyway with whoever is there, so a handful of people could decide all of this for 3,554 properties. Voting takes a few minutes, and you do not need to attend to do it.

The Committee are volunteers, your neighbours, giving up a second evening to finish this. Every vote helps them get it done and get on with the year.

Joining the meeting

Important: the meeting begins at 6:00pm, the required stand down time is 30 minutes to determine how many resident members will join. The meeting proper starts at 6:30pm sharp.

Questions and answers

Why was the AGM meeting adjourned?

The Constitution requires a 10% quorum (355 members) to register in order for the meeting to get underway. This was not achieved on the day.

Where to from here

As quorum was not achieved on the day, a Reconvened AGM is required, hence the 28th October 6:00pm online only has been selected by the Committee. If there is still no quorum half an hour after it begins, those members present form the quorum and the meeting goes ahead, whatever number that may be.

I have already voted. Do I need to vote again?

No. Votes cast online, by postal voting form or by proxy before 18 October still count, and are included in the total at the reconvened meeting.

I have not voted yet. Can I still?

Yes. Online voting is still open, using the same voting form as before, and the link is in the email sent to members. Postal votes and proxies are accepted until 12pm on Tuesday 27 October, emailed to hprs@barfoot.co.nz. You can also take part by joining the meeting online on 28 October.

The papers

Everything for the meeting is unchanged from the AGM information pack that went out on 2 October: the agenda, the motions, the Committee report, the financial statements and the budget.
